If a student is withdrawn before the end of the first reporting period of the term the course starts, that CLIS record will be deleted and the withdrawal mark will not be stored. If a student is withdrawn in any reporting period other than the first reporting period of the term the course starts, the CLIS records which already exist for the course will be retained, and the withdrawal mark will be placed on the reporting period CLIS records the student withdrew in. If a student has completed courses in previous terms, they will not be updated to “W”.

If you are currently in Term 1 RP 1, and the student withdraws, the CLIS records for Term 1 RP 1 will be deleted and no mark will be stored on the system.

If a student withdraws at the end of the semester, the marks for the previous three reporting periods will be retained and the withdrawal mark will be stored in the reporting period the student withdrew.

If you want to retain the actual mark the student had at the time of withdrawal wait until you have moved to the next reporting period to withdraw the student or manually enter the withdrawal mark into the next reporting period.
Please be sure and check the DROP FROM COURSE field on P109 – Alphabetic Marks. Only withdrawal marks should have this field set to “Y”. All other marks should have this field set to “N”. This field indicates whether or not a student should be removed from the CLIS records in the next reporting period if he receives the associated mark. If you have all marks set to “Y”, you will not have ANY students in ANY classes the next reporting period!
