STANDARD CODING PROCEDURES

FOR JVS and PSEO STUDENTS


MDECA standards to code JVS and PSEO students need to be followed for us to better serve you.  Please code  students this way.  This will also allow you to include these students in rosters, labels, GPA, and ranking.

All JVS and PSEO students will be coded with ACTIVE status codes.

Therefore, NO withdraw date and withdraw code of ** will be necessary.

Use the following tables as your guide.

 JVS Students

            N/3 for Open Enrollment and on to JVS full-time

            N/J for Open Enrollment and on to JVS part-time

            J/J for resident to JVS full-time

            A/J for resident to JVS part-time

            J/H for resident to JVS satellite full-time

            A/H for residents to JVS satellite part-time

MUST set data flag 4 on STUD screen to F for full-time JVS students to allow the inclusion/exclusion from reports.

UNCLEMIS and Previous School Field

UNCLEMIS uses the PREVSCHL field on STUD to update the IRN's in EMIS when the building is a JVS, community school, or an ESC. 

It updates the IRN's to that of the resident district based on the value in this field.

It updates in a regular school when the student has an ATT code of J or H; a Status Code of A, R, J, Q, or U; and a TRANSFER TO code in STUD is for the JVS.

PSEO Students

            N/3 for Open Enrollment and on to PSEO full-time

            N/3 for Open Enrollment and on to PSEO part-time

            U/P for resident to PSEO full-time

            A/P for resident to PSEO part-time 

Set data flag 5 on STUD screen to P for full-time PSEO students to assist with inclusion/exclusion for reports.    

N/3 is a three-district situation.  UNCLEMIS doesn't know what the specific situations are for N/3 students so you will need to update LIVE EMIS with the student residency status field with a '9,' the district of residence IRN with the IRN of the district they reside in, the attending/home IRN should show the JVS's IRN or IRN of College/university and the attending/home IRN indicator will be a '3' for JVS or '5' for PSEO.

Course information for full and part-time PSEO students need to be added to the students SCHE and grades added to the CLIS records.  These records will be reporting to EMIS via CLISEMIS program, on report cards and year-end labels via R700 report, and moved to COHI for printing on transcripts via the B118 program.

Course information for part-time/Satellite JVS students would be handled via scheduling as you have always done. 

Course information for full-time JVS students does not have to be added to SCHE.  You may wish to have a block course that indicates this student is full-time JVS on his/her schedule.  JVS individual course information will be transferred using JVSGRADE from the JVS.  MVCTC is a member of MDECA using SIS software since 00/01 school year.  Upper Valley JVS and Greene County JVS utilize SIS software with their respective A-sites.  JVSGRADE is used to move COHI records and ABHI records from the JVS to the home school for class ranking and transcripts. 

MDECA can run JVSEMIS to update attendance to the EMIS database of the home school for each student attending a JVS.  Year-end labels using R700 format 30 will include all CLIS records for students, including full/part-time PSEO and part-time JVS students.  Full-time JVS students’ year-end labels are furnished by your JVS.
