How to Update P310/School Calendar

AND P301/Class Periods Possible Due To

SNOW DAYS & CALAMITY DAYS

The P310/School Calendar and P301/Class Periods Possible screens are used when calculating the number of days present and days absent.  When a school district or building is not in session on a regularly scheduled school day due to snow, fog, etc., any necessary corrections for missed school days must be made using the following procedures:

Update the P310 School Calendar screen first.  All buildings have at least one calendar.  Elementary buildings may have up to three calendars.  Update only those calendars that have an adjustment to be made to the actual days in session on them.

Remove the X, A, or P from the date on the calendar that school was NOT in session due to a snow/calamity day on each calendar.  The X, A, or P field will not space-out in SIS software--use the DELETE/BACKSPACE key to delete the character. 

bulletAdjust the "Act No Days" field at the end of the line for the affected month on the calendar.

Update the P301 Class Periods Possible screen next.  Adjust the "New" number of days field to reflect the actual days in session for the reporting period. 

For example, if in report period 2 school was canceled twice due to bad weather,

bulletChange the number of days in session in the "New" field to reflect the actual days in session, minus the number of days closed for the calamity event (43).
bulletEnter the original number of days for the reporting period in the "Old" column (45).

As another example, if your sports team participates in a state tournament and your building closes for a day during reporting period 4, P310 and P301 screens would need updated to reflect the day(s) not in session for those calendar dates and during reporting period 4.

P705/Report Card Formatter Attendance Fields
The P705 parameter screen is used to calculate the days present field that prints on report cards.  If school is cancelled for several days, and as a result your terms/semester dates change, the ending dates and beginning dates on parameter screen P705/Report Card Formatter Attendance Fields need to be modified.   

GRADEDATES modifies the beginning and ending dates for each grading period on the report card formatter P705.  GRADEDATES must be re-run if ending dates of any grading periods were modified due to snow days or calamity days.  GRADEDATES is processed outside of SIS from the SIS_LOCAL menu Please contact MDECA if you need assistance or do not have access to this screen. 

P105/School Terms
In addition to updating P705 parameters when there is a change to the beginning/ending dates of the  term/semester, the P105/School Term parameter must also be updated.  Enter the revised term/semester dates in the "Beginning Mon. Day" and "Ending Mon. Day" fields in Change mode on the P105 screen.
